Welcome to CUHK-Shenzhen! Every full-time member of staff  has a CUHK(SZ) account, and the initial password is provided by the Information Technology Service Office (ITSO) and it is given to you by the Human Resource Office (HRO) when you are in the orientation day.


CUHK(SZ) Account

Your CUHK(SZ) Account is for accessing the University IT resources and services. Your CUHK(SZ) Account can also be used to log into the public computers in the computer labs  and the Library.

Activate your CUHK(SZ) Account

The account and initial password are included in the CUHK(SZ) Account and Password Notice. The initial password can only be used to activate your account; we strongly suggest you change your password as soon as you receive the Notice. The services and facilities associated with the account will be available only after your account is activated. Please click here to change your initial password.

*Note: Please refer to the following security rules to change your password.

Password Security Rules

At least 12 characters. including four types of characters.

  • Upper-case letters (A, B, C, ...)
  • Lower-case letters (a, b, c, ...)
  • Numbers (1, 2, 3, ...)
  • Special characters (!, @, #, ...)

It cannot include your account name (username) and cannot be the same as any of your previous two passwords. It also cannot have the pinyin of your name or initials.

For example, a staff named "Zhang San”, his password, which is "Atx@18963asdK," is a valid password, for it contains more than 12 characters, uppercase ("A, K"), lowercase ("tx, asd"), numbers ("18963"), and special symbol ("@"). However, "zs1234567890" is invalid, for it only contains lowercase letters and numbers and includes the name’s initials.

Password Expiry

You are required to change your password every 365 days. Within 14 days before its expiration date, you will receive an email notification to remind you to change your password in time. If your password has expired, the related services and facilities will not be available until you change your password.

Password Forgotten or Expired

You can visit here to bind your personal email, secure mobile phone number (Mainland China phone number only), and APP Authentication. When the password is forgotten or expired, you can quickly retrieve or change the password through any one of the three methods. If the password,expires without binding any method above, please contact ITSO for a password reset.


Email

Every full-time member of staff have has a university email address, which is <CUHK(SZ) account>@cuhk.edu.cn. You can log into your university email with your CUHK(SZ) account and password.

For example:

Staff name: LI, Xiaoming

CUHK(SZ) account: lixiaoming
Email address: lixiaoming@cuhk.edu.cn
Password: the same as your CUHK(SZ) account password
 

Access your Email

The staff email system is constructed based on the Microsoft Exchange service. You can access your university email via webmail login ( https://mail.cuhk.edu.cn/ ) or set up your email account through desktop email applications, mobile apps (Outlook), and other mobile terminals with the following configuration information:

Mailbox Type: Exchange

Email Address: <CUHK(SZ) account>@cuhk.edu.cn

Server: mail.cuhk.edu.cn

Domain: leave it blank

Username: <CUHK(SZ) account>@cuhk.edu.cn

Password: the same as your CUHK(SZ) account password

*Note:

  • Please pay attention to your own mailbox capacity. If the capacity is insufficient, you will not be able to send and receive mail. Please make archives in time to save mailbox space.
  • Your university mailbox is for academic and administrative use. Please check the email regularly in case of missing important announcements.
  • Do not use the university mailbox to send irrelevant content such as advertisements or conduct illegal activities;
  • When receiving an email from an unknown source or suspicious phishing email, please be careful not to click the links or scan the QR codes of unknown origin to avoid unnecessary losses. When you encounter a phishing email, please send it as an attachment to isupport@cuhk.edu.cn so that ITSO can screen and isolate this email.

Campus Card

Every staff has a campus card containing your photo, name, number, etc. You can apply for the card at Campus Card Centre after induction. Please prepare a digital ID photo with a white background to produce the card.

Campus Card can be used in:

  • Door access
  • Identification
  • Self-service printing
  • Other campus IT services
  • Borrowing services in the library
  • Campus infrastructures
  • Payment on campus

IP Phones

The University issues IP Phones and internal phone numbers to full-time staff. Please click here to view the manual of IP Phones.

Internal call at CUHK-Shenzhen or CUHK-Sha Tin Campus

IP Phones inside the two campuses are considered as internal phones. You can directly dial the last 5-digit short number.

Example 1: ITSO Hotline of CUHK-Shenzhen Campus is 0755-84273333, and you can directly dial 73333.

Example 2: The General Enquiries Hotline of CUHK-Sha Tin Campus is (+852) 39437000, and you can directly dial 37000. If the short number cannot be reached, please refer to the format of “International or Regional calls” below.

External call in Mainland China

If the number location is inside Shenzhen, add 9 before the number and no need to add the area code.

If the number location is outside Shenzhen, add 90 before the number and add the area code when calling a fixed telephone.

Example 3: The number is 0756-12345678. Please dial 9075612345678.

International or Regional Calls

To make an international or regional call:

add 900+country/region code before the phone number.

Example 4: The number is (+61) 123456789. Please dial 90061123456789.

Note: The authority to dial international or regional long-distance calls requires special application. If you only need to use it temporarily, please go to the ITSO service desk to inquire and dial.


Office Computer

According to the relevant university management regulations, full-time employees can choose to apply for a laptop or desktop computer based on their actual needs. Before the new employee joins, the department asset administrator confirms that there is no stock of office computers in the department, and can then apply to ITSO for a computer to be allocated to the new employee. Otherwise, idle computers within the department will be prioritized for use. When an employee leaves the university, they are required to return the received computer to the department asset administrator.

*Note: Due to different procurement batches of office computers, there may be variations in configurations and models, but this does not affect normal office use. If any software or hardware issues are found with the issued office computer, please contact ITSO for repairs.
